Log into Retail Operations and in the tree menu, open the Customers section and click on Work Orders. The work orders opens to Current Orders which have not been picked up. Work orders can be edited and created in this back office interface as well as at the POS.

The Work Orders is divided up into three windows. The top window is the upper level detail of the work order, the lower left window displays the Order Details, and the bottom right window shows the Payment Activity. There is editing capabilities for both the Work Order and the Order Details, accessed by clicking the Edit buttons in each of the respective windows.

Work Orders - The top window contains the main work order details, when the order was created, who ownes the gear being serviced, the order total and balance due less any deposits, the status, estimated completion date, repair associate and repair tag number, customer Email and work order notes, meant as a high level note, different from the notes section on each service or part. Clicking the Edit button to the far right of each order record, will open a window containing each of the aforementioned fields available for editing.

Order ID & Date - These fields are created upon saving a new work order and cannot be modified.

Status - This is a drop down field that contains a list of status' that can be applied to the work order.

  • Open is considered as an order that is still being worked on
  • Ready indicates that the order is finished and ready to pick up
  • Picked Up can only be set if the order does not have a balance due. If the balance is zero, set the status to Picked Up and set the Pickup Date. This will close the order and move it to the Historical Orders view. Otherwise, edit the price in the Order Details window to change it to zero or in the work order at the POS.
  • Cancelled is another option that can only be set if there is no deposit or balance due on the order, otherwise the order will need to be cancelled at the POS.

Complete By - Use the drop down calendar to set or change the date the work order is due to be completed.

Repaired By - This drop down accesses your list of sales associates, used to indicate who is the primary repair technician.

Customer - This drop down accesses your list of customers in alphabetical order. If your customer had a deposit on the work order and you change the customer, you will be asked if you would like to update all existing transactions against the work order to match the new customer.

Repair Tag - A field to define a tag number if you use a physical repair tag to attach to the gear being serviced.
