Create a Manual Purchase Order

To create a new order, open the Purchasing section in the tree view and click on Purchase Orders. On opening, the view is always set to open the Unsent Purchase Orders. Click the first icon in the toolbar to create a New PO. This opens the Purchase Order wizard.

Use the scroll bar to navigate through a list of all suppliers, or filter out those that do not need ordering by selecting the radio button beneath Show All Suppliers. If no suppliers appear in the filtered list, use the Refresh All Suppliers Ordering Needs link to generate system order data using reorder settings for each item in inventory. Refreshing the order data can take several minutes to complete.

Select the supplier and click the Next button at the bottom of the wizard to move forward. Use the Build order data option only if you have sales data and reorder data for the system to utilize. Otherwise, select the radio button to Manually write a purchase order. Click the Finish button and there will be a new purchase order for the selected vendor in the top window. Use the Save icon in the toolbar to save this order and set the created date, time and user information. You now have a base order in which to add products to from the inventory, catalog, or by creating a new item.

Adding Products from Inventory

Products can be added to a purchase order from inventory by first bringing those items up in the Inventory Search view. Use the search dropdown fields to call up a specific product code, description, or entire supplier line and Show Results to view those items in the Work Set window below.

Products can be added to a purchase order from the Search window or from the PO toolbar. From the inventory search window, use the Ctrl button on the keyboard to select specific products in the work set, or use the Shift button to select and start and end product to highlight. Either use the right mouse button or click the Task drop down in the lower work bar to access the Task Menu. In this menu, select the option to add the items to the PO and Go, which will add the products to the purchase order and take you to the order window, or add the items to the order and remain in the inventory search window. All products are added to the order with a quantity of 1 (either each or pack depending on the products settings), which can be adjusted back on the order window.

There are also two icons in the purchase order toolbar which will either add all products in the inventory search work set, or only those products selected. To change the order quantity, click in the Order Qty field in the Purchase Order Details window for each product. The PO Cost is brought over from the inventory cost, but can be adjusted in the PO, as can the number of Products Per Pack.

It is recommended to save the Purchase Order throughout the process of creating the order by using the Save icon in the PO toolbar.
