Create A New Sales Associate/User Account

The ability to create a new user account is located within the Security section of Retail Operations. Within security go to the Employee User Accounts. Click the first icon in the toolbar to add a New User. This will put the User Account window into edit mode and create a new blank row. Click the Save icon in the toolbar upon filling in all of the necessary fields. Those in green are required fields for entering a new associate.

The Account Name must be a unique value, therefore, if there are two users with the same first name, use an initial and their name. This is a required field that must be set to save the new associate.

First Name, Last Name, and Tag Name are all fields which must be filled out for receipts and transaction views to properly display sales associates and security managers.

The Permission Group is a drop down field that refers to which security group the sales associate will belong to, further determining which activities they have access to.

The Authorization Rank field is set by using the up or down arrows to set the number of stars. The more stars, the more permissions they are eligible for.

The Passcode must be unique between users. It must be a combination of numbers and letters, with a minimum of 7. This is a required field that must be set to save the new associate.

The POS and RO (Retail Operations) Access Check Boxes is a high level setting that either lets them have access to each part of the EncomPos Retail software or not.

The Card Id field is assigned through the User Accounts toolbar only.

The POS Code is the new sign on which is the user id by default but can be changed to a numeric or whatever the user wants to type in for signing onto a sale at the POS, as opposed to using the swipe cards. This is a required field that must be set to save the new associate.

The Op # is a unique number up to five digits that the system requires in order to track that employee. This is a required field that must be set to save the new associate.

Fill in the Social Security Number if you are utilizing Quickbooks for payroll purposes.

Com. % or Commission Percent can be set on each employee. The sales are tracked and commissions are calculated out using that number.
